Quick Answers

The four things event planners ask us first — answered plainly.

What is a corporate event limo service?

It is chauffeured group transportation arranged around a business event: guest arrivals, hotel-to-venue shuttle loops, executive cars for speakers and VIPs, and staged departures at the end of the night — all managed by one dispatch desk and billed on one invoice.

How much does corporate event transportation cost in Seattle?

Hourly event hire starts at $95 per hour for an executive sedan, $125 for a premium SUV, $165 for a 14-passenger Mercedes Sprinter and $195 for a 24-seat mini coach, with a three-hour minimum. A full shuttle loop for a conference day is typically quoted as a flat package.

How many vehicles do I need for my event?

As a rule of thumb, one 14-passenger Sprinter moves roughly 40 guests per hour on a short hotel-to-venue loop, and a 24-seat mini coach moves about 70. Tell us the guest count and the arrival window and we will model the exact number of vehicles and run times.

How far ahead should a corporate event be booked?

Four to six weeks is comfortable for most conferences and galas. December holiday parties, graduation weekends and major convention dates at the Seattle Convention Center should be reserved two to three months ahead to lock in the full fleet.

Transport Is the Part Guests Remember

Nobody compliments an event because the shuttle ran well. But everyone remembers standing in the rain outside a Bellevue hotel for twenty minutes, or a keynote speaker arriving nine minutes into their own session. Corporate event transportation is judged entirely by whether it disappears.

So we plan it like logistics, not like car hire. Guest counts become loop times. Venue loading zones are checked in person before the day. Vehicles are staged before the first arrival, not dispatched when the first guest calls. And a single coordinator holds the whole run sheet, so when a session overruns there is one person to call and one decision to make.

Ten years and more than 15,000 completed rides across the Puget Sound sit behind that: which downtown garages take a 24-seat coach, how the 520 behaves after a 5 p.m. closing session, and which convention centre door gets 200 people loaded fastest in February weather.

Corporate Event Questions, Answered

Direct answers to what event planners and executive assistants ask us most. Anything else, our dispatch desk is staffed 24 hours a day.

Can you manage transportation for a multi-day conference?+
Yes. We run full programmes: staged airport arrivals across many flights, scheduled hotel-to-venue loops each morning and evening, executive cars held for speakers, dinner transfers and a departure day plan. One coordinator owns the whole schedule and one invoice covers it.
Do you provide onsite staff at the venue?+
For larger events we station an onsite coordinator at the loading zone to direct guests to the correct vehicle, manage the queue and keep loops running to time. For smaller events the lead chauffeur handles guest direction and stays in contact with dispatch.
Can guests be billed to the company rather than paying individually?+
That is the normal arrangement. The event is booked on a corporate account with cost codes, so guests simply board and ride. Your finance team receives one itemised invoice afterwards with net payment terms.
What happens if the event runs late?+
Extra time is added at the same hourly rate and the chauffeurs stay. Sessions overrun and speeches run long — we build buffer into the run sheet and our 24-hour dispatch desk authorises extensions on the spot.
Can you brand the vehicles for our event?+
We can display discreet event or company signage in the vehicle windows so guests identify the right car quickly. Full vehicle wraps are not available, but window cards, welcome boards and printed run sheets are standard on request.
Do you carry the insurance our venue requires?+
Yes. Seattle Limo Service is fully licensed in Washington state and every vehicle carries commercial liability coverage. We supply certificates of insurance naming your company or venue as additional insured when the contract requires it.
Can you handle accessible transportation for guests?+
With advance notice we arrange wheelchair-accessible vehicles as part of the event fleet and brief the chauffeurs on assistance requirements, so accessible guests travel on the same schedule as everyone else.
Which venues and areas do you cover?+
All 37 Washington cities we serve, including the Seattle Convention Center, Lumen Field Event Center, Bell Harbor International Conference Center, Meydenbauer Center in Bellevue, Hyatt Regency Bellevue, Woodinville wine country venues and the Tacoma Convention Center.
How do you handle bad weather or traffic on the day?+
Dispatch monitors conditions live and shifts departure times, adds a vehicle to a loop or reroutes around incidents, then tells your coordinator before guests notice. It is the main reason our on-time record sits at 99%.
Is gratuity included in the event quote?+
Gratuity options are agreed during quoting and shown on the proposal, so the figure you approve is the figure invoiced. Nothing is added afterwards and chauffeurs never solicit tips from your guests.
